Your planning is divided into the parts a wedding is actually made of — the venue, the photographer, the flowers, the music — and each part holds its own vendors, tasks, payments, documents and decisions, along with the few key steps that carry it forward.
Above all of it sits the whole picture: how far along you are, what has slipped, what is coming next, and how many days are left.
The Planning Hub is part of Heirloom.
Keep every vendor close at hand.
Each vendor you are considering has a card of their own — contact person, phone, email, website, Instagram, address, and the notes you would otherwise keep scattered in your phone. The ones you love, you can mark as favorites.
Each one also moves through the stages of a real conversation: researching, contacted, awaiting a quote, quoted, booked, completed, or passed on. One look tells you who you are still waiting to hear from.
Underneath every vendor is their journey — the calls, emails, WhatsApp and Instagram messages, meetings and notes you log, with what came of each. Booking them, paying them, filing their contract or settling a question about them lands in that same history.
You bring your own vendors. Agapaé is not a vendor directory and does not search for, contact or book anyone on your behalf.
Know what needs to happen next.
A task can be as small as a phone call or as large as a fitting. Give it a due date, a priority and a label or two, break it into a checklist, and move it across a board as it goes — to do, in progress, done.
Some things are deadlines and some are appointments. A task can be a day, a time on a day, or a span of several days, and only a real deadline that has passed is ever counted as overdue.
Tie a task to one of the key steps of your planning, and finishing the task ticks that step off — so your progress reflects work you actually did, rather than a box you remembered to check.
Anything with a date on it also appears on your calendar — by month, by week, by day, or as a plain agenda.
Know where your budget stands.
Set a total budget, then add costs as they become real: a description, an amount, who it is for, and when it is due. Each one is either still due or paid.
From those rows, four numbers stay in front of you — what the wedding is set to cost in total, what you have paid, what is still outstanding, and how much of your budget is left. If the costs pass the budget, the page says so, and by how much.
Costs that have gone past their date are marked, the ones coming up are gathered together, and everything breaks down by category, so you can see which part of the day is taking the money.
This is a budget you keep, not accounting software: Agapaé does not do invoicing, and never takes or sends money.
Give every part of your wedding its own space.
Your planning starts already divided: venue, catering, photography, videography, music and DJ, flowers, decoration, cake, hair and makeup, attire, transportation, invitations and stationery, officiant and ceremony, and the honeymoon.
Open one and it is a small workspace of its own — the vendors you are considering for it, the tasks it needs, the costs it carries, the documents that belong to it, and the questions still open. A ring shows how far along it is, and a single line tells you the next step.
Rename any of them, hide the ones your wedding does not need, and add your own for anything we have not thought of.
A baptism, or a wedding and baptism on the same day, starts from a set of categories written for that celebration instead.
Keep the details behind every decision.
Contracts, quotes and receipts go into the Planning Hub as files — a PDF or a photograph of the page — filed against the category they belong to, the vendor they came from, or the task they settle. They download when you need them, and nowhere else.
And the questions that take weeks to answer get somewhere to live. Write down what you are deciding, list the options you are weighing, keep your notes beside them, and record what you chose when you choose it. Months later, the reason is still there.
See the bigger picture.
Your timeline is the whole journey in order — the early decisions, the middle stretch where most of the work happens, the last weeks, and the pieces that come after the day itself, like the photographs and the thank-you notes.
Some of those steps keep themselves up to date. As your RSVPs come in, as your seating comes together, as your invitation becomes ready to send, the matching steps on the timeline move without you touching them.
Alongside it, a calendar gathers everything that is dated: the tasks you have given a day or a time, the payments still to be made, and the meetings you have logged with your vendors.
The countdown starts as soon as your date is set.

Éros is Agapaé’s AI wedding planning assistant, and it lives inside your planning space rather than beside it. It can read what is already there — your plan and how far along it is, your guests and their replies, your tasks, your vendors, your budget and your seating — so you can ask about your own wedding instead of about weddings in general.
Ask where things stand, what to deal with first, how to get back inside your budget, or where a guest is sitting. When you ask it to, Éros can also make the change itself: add the task, record the payment, update the vendor, seat the guest.
Éros suggests and you decide. It can be wrong, it can miss something, and everything it does is yours to review and undo.
Éros is not a wedding planner and does not plan your wedding on its own. It is included with Heirloom, and it is not part of the sample planning hub.

- It is called the Planning Hub, and it is the private workspace where a couple keeps their whole wedding together: the vendors they are talking to, the tasks with dates on them, the budget and the payments, the contracts and receipts, the decisions still open, a timeline and a calendar. It is part of Agapaé, alongside the digital invitation, the guest list and the shared photo gallery.
- What can I manage in the Agapaé Planning Hub?

- Yes. - Does Agapaé find or book vendors for me?
- No. Agapaé is not a vendor marketplace and not a vendor directory. You choose who you work with, in your own way; the Planning Hub is where you keep track of them, their quotes, their contracts and what you owe them. Nothing is contacted, booked or paid through Agapaé.
- Does Agapaé have wedding planning tasks and deadlines?
- Yes. Tasks carry a due date, a priority, labels and a checklist, and move across a board from to do, to in progress, to done. A task can be a deadline, an appointment at a set time, or something spread over several days, and what has slipped past its date is marked as overdue. Everything dated also appears on your calendar.
- Can I track my wedding budget and payments in Agapaé?
- Yes. Set a total budget and add each cost with its amount, its due date and the vendor it belongs to, marking it paid when it is. Agapaé keeps the total cost, what you have paid, what is outstanding and what is left of your budget, tells you if you go over and by how much, flags payments past their date, and breaks the whole thing down by category. - Can I organize my wedding planning by category?
- Yes, and it starts that way. Agapaé sets up the parts a wedding is made of — venue, catering, photography, videography, music and DJ, flowers, decoration, cake, hair and makeup, attire, transportation, invitations and stationery, officiant and ceremony, and the honeymoon. Each one holds its own vendors, tasks, payments, documents and decisions. Rename them, hide the ones you do not need, or add your own.
- Can I store my wedding documents in Agapaé?
- Yes. Contracts, quotes and receipts can be uploaded as a PDF or an image, up to 20 MB each, and filed against the category, the vendor or the task they belong to. They are stored privately with your event and downloaded only when you ask for them.
- Can I keep track of wedding decisions?
- Yes. A decision is a question you have not settled yet — buffet or plated, band or DJ, which of two venues. Write down the question, list the options you are weighing, keep your notes with them, and record what you chose when you choose it. The reason is still there months later, and open decisions are shown as something still waiting on you.
- Does Agapaé give me a wedding planning timeline?
- Yes. The timeline runs from the earliest decisions through to what comes after the day itself, such as receiving your photographs. A few of its steps keep themselves up to date from the rest of Agapaé — your RSVPs, your seating and your invitation — and the countdown to your date runs alongside it.
- What is Éros?
- Éros is Agapaé’s AI wedding planning assistant, built into your planning space. It can read what is already in your Agapaé — your plan, guests and replies, tasks, vendors, budget and seating — and answer questions about your own wedding, and when you ask it to, it can make the change for you. Éros offers suggestions you decide whether to follow; it can be wrong, and you remain in charge of every decision.
- Can I try the Planning Hub before I buy?
- Yes. We keep a sample Heirloom event open for anyone to open, already filled with vendors, tasks, payments, documents and decisions, so you can move around a real Planning Hub without paying anything. It belongs to no one and is deleted afterwards. Éros is the one part of Heirloom the sample does not include.
- Which Agapaé plan includes wedding planning?
- Heirloom. The Planning Hub and Éros are part of Heirloom, along with the digital invitation, RSVP, your guest list and table planning. Guest photo sharing is available on every plan, including the free one; the Planning Hub is not.
- Is Agapaé a wedding website builder?
- No. There is no site to build here. Agapaé gives you a designed digital invitation at its own link, and — separately — a private planning space for your vendors, tasks, budget and documents. The invitation is for your guests to read; the Planning Hub is for you, and no guest ever sees it.
- Does it work for baptisms?
- Yes. Agapaé supports weddings, baptisms, and a wedding and a baptism celebrated on the same day. A baptism starts from its own set of planning categories — favors instead of a honeymoon, the christening outfit instead of wedding attire — and the wording follows the celebration you chose.
